This Privacy Policy explains how American Health Insurance Services LLC (“AHIS,” “we,” “us,” or “our”) collects, uses, protects, and shares information about you when you visit ahisagency.com, call us, or work with one of our licensed agents.
Mobile phone numbers and text messaging
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We do not sell, rent, or trade your mobile phone number. We do not share your SMS opt-in or consent with any third party for their own marketing. Our text messages are limited to servicing the policies and requests of people who are already our customers. See our SMS Terms and Conditions for the full program details.
1. Information we collect
Information you give us
- Contact details: name, mailing address, email address, and phone numbers, including mobile numbers.
- Eligibility and application information: date of birth, household size, income range, Medicare or Medicaid status, current coverage, and the doctors and prescriptions you want covered.
- Sensitive identifiers: Social Security number and Medicare Beneficiary Identifier, collected only when a carrier application requires it, and only over the phone or on a secure enrollment form. Never through a form on this website.
- Health information you volunteer so an agent can check networks, formularies, and underwriting eligibility.
- Communications: the content of emails, text messages, web form submissions, and recorded calls.
- Consent records: what you agreed to, when, and through which channel, including the exact wording of any SMS consent you gave.
Information collected automatically
- IP address, browser and device type, referring page, and pages viewed on this site.
- Cookies and similar technologies used to keep the site working and to measure traffic in aggregate.
Information from others
Insurance carriers, quoting and enrollment platforms, and, if you asked to be contacted through a comparison service, that service. We do not buy purchased marketing lists of mobile numbers.
2. How we use your information
- Quote, compare, and enroll you in coverage you asked about.
- Service the policy after enrollment: ID cards, portal access, network and formulary questions, claims problems, plan changes, renewals, and Open Enrollment reviews.
- Send you appointment reminders, document requests, and status updates about your own policy by phone, email, or text, if you consented to that channel.
- Meet legal, regulatory, carrier, and Centers for Medicare & Medicaid Services requirements, including call recording and retention rules that apply to Medicare sales.
- Detect fraud and secure our systems.
3. How we share your information
We share information only in these situations:
- Insurance carriers and their administrators, to submit an application you authorized and to service the resulting policy.
- Service providers that work on our behalf under contract, such as our agency management system, telephony and messaging providers, email provider, and document storage. They may only use the information to perform services for us.
- Legal and regulatory recipients, when required by law, subpoena, audit, or a government or carrier compliance review.
- A successor entity, if our business is merged or acquired. Any successor remains bound by this policy for information collected under it.
We do not sell your personal information. We do not share your information with third parties for their own marketing. We do not share mobile numbers or SMS consent with anyone for marketing or promotional purposes.
4. Text messaging, consent, and opt-out
We text only people who gave us permission. Consent is collected one of three ways: verbally during a recorded enrollment or service call, by checking the SMS consent box on a paper or electronic insurance application, or by checking the separate, optional SMS consent box on a form on this website. Consent is never a condition of buying anything.
You can stop messages at any time by replying STOP, END, CANCEL, UNSUBSCRIBE, QUIT to any message from us. Reply HELP for help. You can also call (800) 360-9441 or email Contact@AHISAgency.com and ask us to remove your number.
When you opt out we keep a record of the opt-out itself so we do not text you again by mistake. That record is used for suppression only.
5. How long we keep information
- Policy and enrollment records: at least ten years after the policy ends, as required by carrier and CMS retention rules.
- Recorded Medicare sales and enrollment calls: ten years, as required by CMS.
- Mobile numbers and SMS consent records: for as long as you remain an active customer, and for at least four years after your last message or your opt-out, so we can prove consent if a carrier or regulator asks.
- Website form submissions that do not become a policy: two years.
6. How we protect information
Access is limited to licensed agents and staff who need it to do their job. We use encrypted transmission for this website, access controls and multi-factor authentication on our systems, and written confidentiality obligations with vendors. No method of transmission or storage is perfectly secure, and we do not claim otherwise.
7. Your choices and rights
- Access and correction: ask us what we hold about you and have it corrected.
- Deletion: ask us to delete information we are not legally required to keep.
- Communication preferences: opt out of calls, emails, or texts independently. Turning off texts does not turn off required policy notices sent by your carrier.
- Do not sell or share: we do not sell or share personal information as those terms are defined under California law, so there is nothing to opt out of.
Residents of California, Colorado, Connecticut, Texas, Virginia, and other states with comprehensive privacy laws have additional rights, including the right to appeal a denied request and the right not to be discriminated against for exercising a right. 8. Health information
Health information you share with us is used only to help you evaluate and obtain coverage and to service your policy. Where we act on behalf of a carrier or plan that is a HIPAA covered entity, we handle protected health information under the terms of our agreement with that entity. Financial information is also protected under the Gramm-Leach-Bliley Act.
9. Cookies
This site uses cookies that are necessary for it to function and basic analytics to count visits. We do not run third-party advertising or retargeting pixels on this site. You can block cookies in your browser settings, though some parts of the site may stop working.
10. Children
This site is not directed to children under 13 and we do not knowingly collect their information. A parent or guardian may of course give us information about a covered dependent during an application.
11. Third-party links
Links to carrier sites, Medicare.gov, or HealthCare.gov are provided for your convenience. Once you leave this site, their privacy policies apply, not ours.
12. Changes to this policy
If we change this policy we will update the date at the top of this page. If a change materially affects how we use information already collected, we will tell you directly before it takes effect.
